The Secure Shredding Industry’s Almighty Certificate of Destruction
In the professional shredding industry there is a document recording a Certificate of Destruction to use the shredding company to customers as "proof" that the documents had been destroyed, disclosed. While this COD will be used by virtually all shredding companies, the similarities end. There is no universal form for a COD, which creates confusion for you, the consumer can make when shopping for a reputable company shredding. Exactly what does theCOD mean anyway? Probably not what you thought it meant.
Many people mistakenly shredding of CSB as evidence that they have washed their hands of any responsibility for the documents to be destroyed. Unfortunately, this is logistically impossible for many reasons. Even if a COD is broken, listing, we say that all employee records from 1990-1995, is obviously impossible to know, for the crushing contractor with certainty whether each individual employee record for that timePeriod was included in the documents he received. And shredding companies do not pretend to know that either.
A standard clause in the contracts for all members of NAID (National Association for the destruction of information) of any legitimate companies shredding member states clearly that subdivisions of materials for destruction have not filed a proof that these documents actually are in the containing materials are to be submitted. This clause protects the crusherCompanies, but also the protection of consumers, because it is necessary to remove any misconceptions, the CSB is in itself evidence that certain documents were destroyed. The sentence goes on to state that if certain evidence is necessary, special arrangements must be made in advance, with special rates and charges.
So, what makes a good COD, and what you should look at the choice of your shredding service? Here are some excellent qualities of a Certificate of Destruction:
• Aunique serial number or transaction number
• A clear statement of the terms and conditions
• Statement of fiduciary responsibility
• The date and place of destruction of materials
• The witness to the destruction of a signature (which other employees or representatives of the shredding company or agent of the customer, if they wish it could be).
What does all this mean? Do Certificate of Destruction offer no protection for the consumer? Actually,they are very important documents, which protects both the contractor and the consumer, by stating in advance what is and is not within the competence of the shredding company. And finally, all this leads back to this: the choice of a reliable, reputable shredding company not only provides you with excellent service, but the peace of mind.
